Scope of Work

The Organizational Excellence and Process Improvement Intern (Intern) supports the City's Organizational Excellence and Process Improvement Officer in various Lean Six Sigma (LSS) and project management initiatives. This part-time role offers hands-on experience for either MBA or undergraduate management students interested in operational excellence and public service. While a Lean Six Sigma Black Belt is not required upon entry, the City will provide training and certification opportunities. This position focuses on assisting with data collection, project coordination, training logistics, and continuous improvement efforts across City departments.
Essential Job Duties

A. Lean Six Sigma & Continuous Improvement Support

  1. Collaborate with the Organizational Excellence and Process Improvement Officer to gather and analyze data for process improvement projects.
  2. Assist in the planning and coordination of LSS training sessions (e.g., scheduling, material preparation).
  3. Observe and learn LSS methodologies (e.g., root cause analysis, process mapping, SIPOC) with the goal of applying them to assigned tasks.
  4. Support City staff and project teams with basic troubleshooting and resource coordination under the direction of the Officer.
B. Project Coordination & Facilitation
  1. Help organize and document project meetings, including scheduling, preparing agendas, and taking minutes.
  2. Maintain project files, records, and status reports to ensure timely and accurate updates.
  3. Track action items and follow up with team members on progress toward project milestones.
  4. Provide administrative support, such as compiling data, producing charts or graphs, and coordinating virtual or in-person collaboration.
C. Training Development & Logistics
  1. Assist in preparing training materials and handouts for Lean Six Sigma workshops and other organizational development sessions.
  2. Coordinate registration processes for trainings, track attendee participation, and organize feedback surveys.
  3. Provide technical or logistical support during training sessions (e.g., setting up Zoom/Teams calls, distributing materials).
  4. Contribute new ideas to improve the effectiveness and engagement level of training activities.
D. Process Improvement Advocacy & Culture Building
  1. Participate in meetings, Kaizen events, and other improvement activities to observe and learn how LSS is applied in a government setting.
  2. Share insights or recommendations with the Officer and project teams to enhance continuous improvement efforts.
  3. Uphold a positive and proactive attitude toward process improvement and customer service across all City departments.
E. Data Analysis & Reporting
  1. Assist with collecting, organizing, and interpreting data to identify performance trends and potential areas for improvement.
  2. Develop simple dashboards, spreadsheets, or presentations to visualize findings for team discussions.
  3. Work closely with the Officer to ensure data accuracy and relevance.
F. Administrative & General Duties
  1. Assist with maintaining project documentation, templates, and archives according to City standards.
  2. Provide general support to the Organizational Excellence and Process Improvement Officer, including research, record-keeping, or scheduling.
  3. Perform other related duties as assigned, within the scope of a part-time internship.
3. Supervisory Responsibilities
This position has no direct supervisory responsibilities. The Intern may work with various project teams or department staff but does not supervise employees or other interns.
Physical and Environmental Conditions

  • Ability to work at a computer workstation for extended periods.
  • Ability to communicate clearly in person, by phone, and email.
  • May occasionally lift or move items (e.g., training binders, equipment) up to 25 lbs.
